Sensitive data, properly looked after
Adopters’ addresses, surrendering owners’ circumstances, animals’ medical histories: rescues hold a lot of personal information. Here’s how Shelter Suite keeps it safe, in plain English for trustees.
Where your data is kept
- On UK servers, hosted and managed by us: nothing to install or maintain
- Backed up throughout the day
- Your data belongs to you. We never sell or share it, and if you leave, we export all of it for you
Who can see what
Every user has a role. Trustees see everything and manage users; lead coordinators work across every area; area co-ordinators only see the areas and counties they cover. Extra permissions, such as merging records or managing your website listing, are given person by person.
- Vets and partner agencies can have their own login, limited to the animals they work with
- Volunteers log their hours without needing an account at all
A record of every change
- Every animal and person has a full history of each change and who made it
- Deleted records can be restored by a trustee, so a mistake can be put right
- Shelter moves and status changes are kept in each animal’s history
Tools that help you meet GDPR
- Unused Profiles suggests old records you no longer need, so you don’t keep personal data longer than necessary; nothing is deleted unless you choose
- Record when someone opts out of marketing emails, and they’re left out of mailing lists automatically
- Merge duplicate records so each person has one accurate profile
- Your website only shows what you choose: a read-only key you can revoke at any time

Do we need our own IT support or servers?
No. Shelter Suite runs in a web browser. We host, back up and update everything; your team just signs in.
What happens to the data entered during a free trial?
The trial is a practice version filled with made-up data, so please don’t enter real people’s details. It’s deleted when the trial ends. Customers start fresh on their own Shelter Suite.
What if we decide to leave?
We export all your data into a format you can open and use elsewhere, such as CSV files.
